What is a Virtual Admin?

A VA, for short, is a self employed or agency employed individual who assists small business owners with a range of tasks. These tasks can be specific to skills set of the VA, such as a VA specialising in Graphic design assistance, Legal document control, Systems set up or stand Administrative tasks of proof reading, email/calendar management, data entry and so much more. A VA is generally contracted for either a certain amount of hours per month. Each has unique skills and it is completely possible to get a VA within the area of genius you are after. 

The purpose of a VA to provide small business owner with assistance in their business without the expense of employing someone full time. A VA generally works remote/from home and will work for multiple clients at once. 

How can a VA help my business? What If I can’t afford a VA?

We all know that overwhelm we can feel as small business owners, ALL the things to do and not enough time to do them in. What you need to think about is, how long did it take you to do that tedious task of creating SOPs for your business or how long did it take you to organise your inbox? Well just like the business you created for your customers to come to you, VA’s have speciality skill sets to help you get things done faster and more efficiently. Just remember your time is money and so is your VA’s But you both had different skills sets. You might be a creative or in the Healthy & Wellness industry, your passion will generally not be Admin, which is why you're coming looking for someone like me. 

Unlike you, I LOVE all things systems, workflows, seeing this organised and neat. As they say ‘Do what you do and Outsource the Rest!’ When you put value in other peoples areas of genius, it gives you a fresh appreciation for your incredible Zone of Genius!


Do I really need a Task Management or Project Management Platform?

These sorts of platforms are essential when really diving into and keeping you accountable for your actions.

They serve so many purposes. You can collaborate with people on tasks when you invite them, you can provide feedback on collaborated tasks, you can view tasks in a calendar format to keep you on track for your tasks each day.  You can map out Launch's, New programs, Business Plans, Personal and Business Goals, Daily Habits, Affirmations/Manifestations, Gift giving checklists, Home Chores, Systems Tool & Important Links and sooooo much more. 

My personal preference is Asana, this is after much research and a few trial and errors. But Asana for me and my clients provides the best daily Calendar viewing and Tasks Collaboration options. 

Why can't we just communicate via email?

Ever felt that inbox overwhelm and just avoided looking at it for fear of how much you need to go through...? 

Don't worry most people have and this is why I don't use Email as my preferred method of contact. It’s so easy to lose track of conversations, project ideas, updates, feedback and also attachments. 

Let alone when someone just starts a whole new email rather than replying to a train of emails. It’s just too complicated. 

A Tasks/Project Management Platform, specifically Asana, allows you to comment directly on tasks, provide feedback, add new tasks with Dates within the original task and assign it to a new person, you can even add an image to make it clear what the tasks represent in image form. 

Another avenue that is ideal for quick client chats is Voxer. Voxer allows you to send voice messages, text, GIFFS, pictures, etc, all whilst keeping you conversations private and away from social media, so may assist with less distraction of scrolling down the rabbit whole every time you want to check in with your VA.

Will working with me require a lot of your time?

Yes and No. Every time you start working with someone new, the Start-Up or Learning Mode stage is always time-consuming but its always for the greater good.

Time Freedom and Consistency in Workflows. 

I am here to pick your brain about your unseen process, and systems you didn't even think you had a system for. Chances are all that GOLD info I need is all stored in your head. <

In the first 4-6 weeks, we will spend a minimum 1 video call and maybe 2, per fortnight chatting about 'all the things'. Once we get all that info out and start making a plan for your business systems, the brain picking will become less and it will be more about making sure your actions are aligned with your Business Goals & Vision. 

Another way to think about the onboarding period is like when you worked in the corporate world or you had your first job, it generally takes you a few weeks (or months really 🤪) of any new job to learn 'all the things' and working with a VA is the same thing. 

We need to share and learn from each other before we can get to the good stuff. 

What is the best time to contact me?

Tuesday - Thursday > 9am-4pm are my regular business hours.

BUT I can be contacted outside of these hour. If it isn't urgent then it may just take me a little longer to get back to you or if it is urgent, you will just need to make that clear in BOLD or as a heading of a Voxer message. And in this case I will do my best to get back to you within a few hours. (within reason).

I also always like to remind my clients that I launched my own small biz so I could work it into the times that are suitable for me and I can still spend that valuable time with my little guy. He is my biggest WHY for being in this Biz and sometimes that means some weeks or days, the biz is on hold and my focus is on him. If that happens I always communicate this to my clients and I make myself available in alternate times. I love encompassing my life into my biz as I firmly believe in creating a business that supports my life rather than trying to fit my life around my business.
